Question

What licensing agreements does campus have in place for Microsoft products?

Overview

Currently, the UC Davis campus community can use three different types of licensing agreements to obtain Microsoft Products:

Answer

Microsoft 365 license

Students may download and install Office Pro Plus from the Microsoft 365 portal on up to 5 devices by logging into https:\\portal.office.com.

Microsoft Select

Select agreement allows any student, faculty, staff member, or department to purchase Microsoft licenses at a very competitive price. This is a UC-wide agreement; there are no minimum requirements and licenses can be purchased at any time. Purchasing through this agreement can be a cost-effective solution for both licensing and upgrading systems.

Microsoft Campus and School Agreement (CASA)

Department may enroll in the UC CASA to license Microsoft products at special UC pricing. Through the CASA subscription, departments license all the computers and users in their department for 12 months or if they enroll during one of the midterm periods, then it will be for the remainder of the contract year, and are eligible for the latest Microsoft software.

To determine the cost of enrolling in the UC CASA, a department must calculate the full-time employee (FTE) count. This calculation takes the department’s employee headcount and converts it into an FTE count by applying certain reductions. The FTE count is usually lower than the headcount. When the FTE count is lower than the number of machines the department needs to license, the department saves money.
