Question

What can I update in the system for my name and mail ID?


Overview

There are certain situations where a name change in the system is requested. There are 2 types of name changes that can be performed.
Legal name changes are done with UC Path for staff and Office of the Registrar for students. This may or may not impact a user's display name. based on and name changes that will impact the display names.
A display name is what is displayed on campus systems and may differ from legal name. It may be a lived name or preferred name. 

Understand that performing a Email rename has the potential to disrupt account access to various systems across campus. Some disruptions are temporary (24-48 hours) and some cause permanent disruptions (no more access). Login ID changes have greater points of failure and irreversible actions that can affect payroll, Financial Aid, class and benefit enrollments. There are hundreds, possibly thousands, of systems across campus and most of them are not owned or supported by IET. It is up to the user to work with those systems when a Mail ID is changed.
As such, we're unable to offer you assistance if a email rename or LoginID rename causes you to lose access to those systems.

Displayed Name Changes

A display name is referred to as lived name or preferred name. This is what displays on campus systems and may differ from legal name. .

If you are also staff, you will need to update your name and pronouns in UC Path as well to update that database when you log in and to the names match. 

Please note UCDH External Affiliates speak with their UCDH sponsor and with UCDH Human Resources to update their lived/preferred name and legal name. 

Legal Name Change

Students  - To change your name in Banner: Contact the Office of the University Registrar for assistance.

Staff and Student Staff - To change your legal name in UC Path: Contact the UC Path or your local Human Resources for assistance.

***Students who are also staff members will need to update their legal name in both systems to ensure payroll and financial aid are uninterrupted.*** 

Affiliates - Please speak with your local Human Resources and sponsors for assistance updating your name. 

 

MailID Rename/Change

When a name change is performed with the display name options for either legal or lived/preferred name provided above, it might make your current email address inaccurate for lived/preferred name. It is possible to rename your email address in following the current UC Davis email naming rules. https://kb.ucdavis.edu/?id=1448 
A MailID rename is processed when a name change has already been processed/updated. 
To change your MailID, use this form located in the Service Catalog.

It is also recommended to be an email that does not cause confusion to avoid interruptions in access to resources or instructional materials. A courtesy 180-day auto-forward of the previous email address is also granted to give you enough time to update professional and educational contacts and systems you access .

A MailID rename does not cause the catastrophic scenarios but it's important to note that several systems related to your email address will not work for up to a week. There is no way to expedite this process so please plan accordingly. Please be prepared to manually update various systems you access to avoid future issues if your old Mail ID was not removed from them.

 

Can I update my LoginID?

No. Access to many campus systems will be severed permanently, access to files, emails and other resources like payroll, Financial Aid, class and benefit enrollments under the previous LoginID will be lost forever and some systems will require administrators to recreate your record(s) in their systems. Reverting the action to a prior login ID causes more issues making the process irreversible.
