What happens to my Computing Account when I leave or retire from UC Davis?
Overview
Campus sponsored licensing for products discontinues once you leave UC Davis. This includes but is not limited to Microsoft, SIS web, and Google products and services.
Please see the listing below for specifics.
To reduce any data lost, please download resources you would like access to after separating from UC Davis to personal non-UC Davis accounts.
The date that your account loses access varies based on affiliation.
These can cease as soon as days after separating from UC Davis for UCDH, School of Medicine and School of Nursing, 30 days for staff and temporary affiliates and up to 3 months for non-Emeriti faculty.
If you are using any electronic communications resources, such as an email address, for incidental personal use (e.g. for a login address to a non-UC Davis web page) it is strongly encouraged that you switch to using a personal non-UC Davis email address so you do not lose access to those sites or services.
As you prepare your information for possible data and email log transfers as you leave UC Davis, please keep in mind the following:
- University business records, which may include emails and attached documents, stored in email inboxes must not be transferred to personal accounts, as they belong to the university and may be subject to specific requirements on the disposition of those records. Whether or not created or stored on university devices, these records can be subject to disclosure under the California Public Records Act or other legally required purposes.
- Personal information about others that were collected and/or maintained in emails for the purpose of official university business duties must not be transferred to personal accounts. Keeping this information beyond official duties may be a violation of policy and applicable laws as a possible unauthorized use or misuse of records.

Your computing account will close. Access, software, and files stored with campus services are affected by this.
Please see the following sections for the impact it will have for your departmental and for your individual access.
Campus Services
Once your UC Davis computing account has closed:
- You will no longer be able to access campus-hosted services such as and not limited to myucdavis, Office 365/Microsoft Products including OneDrive, Docusign, UC Davis Canvas, UC Davis Zoom, and SISweb.
- Your department will lose access to shared documents you own. Please work with your local IT to transfer data to prevent work stoppages and data loss.
- If you need to update your name or home mailing address, please contact UC Path: https://ucpath.ucdavis.edu/contact
- You will need to access UC Path using a personal non UC Davis email address once your account is closed. Please see https://kb.ucdavis.edu/?id=05112 for assistance.
- If you have registered any computer MAC addresses for use on the wired campus network (DHCP registration), they will be de-registered during the closure process. Access to UC Davis campus computer labs and the Eduroam wireless network will also be discontinued during the closure process.
- If you need access to any of these temporarily, please reach out to your department for a TAF (Temporary Affiliate Status) to retrieve any resources.

NOTE: If you have been using your loginid@ucdavis.edu and not your mailid@ucdavis.edu, you will need to change that wherever you use it as loginid@ucdavis.edu will no longer continue to deliver email to you.
UCD affiliates with an active emeritus status will retain access to campus services. Please contact your department to confirm your status. They will continue to be your campus support.
UCD affiliates associated with UCDH with either a full or split appointment will need to contact UCDH IT for policy information.
W2 Information
You will not use your UC Davis credentials to log in to UCPATH once you are no longer listed as active in UCPath.
Please scroll to the bottom of the first login page and click University of California, Former Employees to access your information and be prepared to use a non-UC Davis email address.
Departmental Computing Accounts and Mail IDs
These accounts close when your computing account closes. You will need to fill out a form for each account or mail ID you own to prevent those from closing should you department still need access to them.
Use this form to transfer an account and this form to change ownership or delivery of a mail ID.
Voicemail
Your voicemail is tied to your campus computing account. You will need to speak with your department’s ATR about reassigning the phone as they will not be able to reset the password or PIN. You can find a list of departmental ATRs on this page .
Mailing Lists
When your computing account is closed and you want to change the lists you are subscribed to, please see this KB0000199 to log in to Sympa appropriately. From there, you can unsubscribe from any lists you no longer want to receive mail from. You will also want to assign privileged ownership of any lists you manage. If you need to handle this after you leave, you will need to log in as "Other User" with steps from this page.
Campus Email Services
Email accounts for former temporary affiliates will be retired on February 1, 2024. If enabled, email forwarding will end for these accounts on the same date. Former temporary affiliates include former temporary staff, contractors, volunteers, and others designated as TAF. Former students, former faculty, and former staff are not impacted at this time.

Access to email will depend on what email service you're affiliated with. There are several on campus. To determine what mail service you're on, follow the steps below:
- If you're on DavisMail:
Faculty & Staff currently on the DavisMail system will retain their campus email address and email account until Google ends their contract for DavisMail, your department requests a complete cancellation of your computing account, or the service is discontinued. Once your computing account has closed, you will no longer be able to access DavisMail via myucdavis. Email access is no longer available for contractors and other contingent affiliates sponsored on TAFs past their account closing.

If your account is closed by your department you will not have access to DavisMail.
- If you're on Office 365:
Your Office 365/uConnect account closure is linked to when your UC Davis computing account begins the closing process and the expiration of your IMAD (uConnect) service permit. This can be as soon as 30 days after a staff/faculty member has left the university. During this 30 day period, we strongly advise members to set up email forwarding for their UC Davis email account in order to continue receiving email sent to their UC Davis email address.
You will have 30 days to access your inbox and 180 days to setup email forwarding on your account. If a forwarding address is not provided within the 180 day window, the email address will be deactivated on the campus systems. At any time your department can request a complete cancellation of your account, if this happens you will not have access to your email nor will you be able to set up email forwarding.

Email Forwarding

Your Kerberos passphrase will be required to setup email forwarding on your account. If you have forgotten your kerberos passphrase, options for passphrase reset can be found here.
Email will only be forwarded for your MailID@ucdavis.edu email address.
*If you have an affiliation with the UC Davis Health System or were sponsored on a TAF, you are not eligible for this service.
How do I extend my account access after closure?
Unfortunately without an active faculty, staff, or student record, all UC Davis Computing Accounts begin an automatic closure process. If you are currently on filing-fee, this can also start the closure process since it is not an active student status. If you need the account for university-related purposes, you can be sponsored with a Temporary Affiliate Form (TAF) by an active faculty or staff member for up to one year.
